Planning Your Faculty-Led Program Abroad

Planning your first or next faculty-led program abroad? Now’s the time to start planning! We have put together a list of our most frequently asked questions to get you started.

How far out can I start planning for my faculty-led program?  

With FTI, you can book flights up to 11 months in advance, but ground services can be reserved up to two years before travel. This advanced booking option enables you to put together clean proposals with solid ballpark pricing. Plus, the travelers’ names aren’t required until 2-3 months before departure. This flexibility allows you to adjust as needed, accommodating student withdrawals or additions without hassle. 

What services can FTI offer for faculty-led international programs? 

Your FTI Advisor will partner with you to design a program package that can include group flights, airport transfers, local guides, in-country transportation, meals, lodging, and travel insurance. In addition, advisors are happy to offer ideas on how to enhance programs, including interactive and behind-the-scenes activities that will complement your curriculum. 

How much control do I have over my program’s itinerary?  

You are in the driver’s seat when it comes to designing a custom itinerary for you and your students. Our job is to offer suggestions, explain the options, and bring your vision to life. Your advisor will ensure that your unique priorities are being met while also staying within your budget.  

How can I make sure I have all the information I need, especially deadline commitments? 

At FTI, we have an online travel management tool called UBI. You can use it to access your trip information, agreement, and statement/invoice; manage passenger information; submit payments; and more! The system even sends you reminders when deadlines are approaching. 

What if we run into an emergency or I need other help during the trip? 

All FTI customers have access to our complimentary after-hours helpline for travel emergencies (ex: cancelled flight or a student needing to return home early).  

Additionally, our tour guides are available to assist 24/7 if an emergency arises. If a problem occurs when the guide is not with the group, the faculty leader can reference the emergency contact list provided with the travel documents prior to departure.
